This Privacy Policy explains how PitchEdge collects, uses, and protects your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

PitchEdge is an AI-powered sales training platform operated in the United Kingdom. For the purposes of data protection law, PitchEdge is the data controller of your personal information.

  • Company name and role when you enquire about our services

  • IP address and browser type when you visit our website
  • Pages visited and time spent on the site (via analytics)
  • Cookies and similar tracking technologies (see our Cookie Policy)

Information collected through the service

  • Voice recordings of training calls made through the PitchEdge platform
  • Call transcripts and AI-generated performance scores
  • Usage data including call frequency, duration and session times
  • Account information for team members using the platform

3. How we use your data

We use your personal data for the following purposes:

  • To provide and operate the PitchEdge service
  • To respond to enquiries and provide customer support
  • To process and score training calls and generate performance feedback
  • To send service-related communications (account updates, onboarding information)
  • To improve and develop our platform and AI models
  • To comply with our legal obligations
  • To detect, prevent and address technical issues or misuse

4. Legal basis for processing

Under UK GDPR, we rely on the following lawful bases:

5. Third-party services

We use the following third-party services to operate PitchEdge. Each has their own privacy policy and data processing terms:

We ensure all third-party processors operate under appropriate data processing agreements and provide adequate safeguards for your data.

6. Voice recordings and call data

Training calls made through PitchEdge are recorded and processed to generate performance scores and feedback. By using the service, you and your team members consent to the recording and processing of calls for this purpose.

Call recordings are retained for a maximum of 90 days, after which they are permanently deleted. Aggregated performance data and scores may be retained for longer for the purpose of tracking improvement over time.

Call recordings are never shared with third parties other than our processing partners listed above, and are never used for advertising purposes.

7. Data retention

  • Enquiry and contact data: Retained for 2 years from last contact
  • Account and user data: Retained for the duration of your contract plus 12 months
  • Call recordings: Retained for 90 days then permanently deleted
  • Performance scores and analytics: Retained for the duration of your contract plus 12 months
  • Financial and billing records: Retained for 7 years to comply with HMRC requirements

8. Your rights

Under UK GDPR, you have the following rights regarding your personal data:

  • Right of access: Request a copy of the personal data we hold about you
  • Right to rectification: Ask us to correct inaccurate or incomplete data
  • Right to erasure: Request deletion of your personal data in certain circumstances
  • Right to restriction: Ask us to limit how we use your data
  • Right to data portability: Receive your data in a structured, machine-readable format
  • Right to object: Object to processing based on legitimate interests or for direct marketing
  • Rights related to automated decision-making: Not to be subject to solely automated decisions that significantly affect you

9. Data security

We take the security of your personal data seriously and implement appropriate technical and organisational measures to protect it against unauthorised access, loss, or disclosure. These include encrypted data transmission (HTTPS), access controls, and secure cloud infrastructure.

In the event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify the relevant supervisory authority within 72 hours and affected individuals without undue delay.

10. International transfers

Some of our third-party service providers may process data outside the UK. Where this occurs, we ensure appropriate safeguards are in place, such as standard contractual clauses or adequacy decisions, to protect your data in line with UK GDPR requirements.
